1) Can you tell us a little bit about Brainloop?
Brainloop was founded in 2000, and provides a highly secure online work space that helps companies mitigate information risk, meet compliance objectives and increase process efficiencies when sharing confidential documents inside and outside the enterprise. Major organizations that use it include BMW, Deloitte, Eurocopter, Fujitsu Siemens, T-Mobile, and Zurich Financial Services.
We help these companies achieve document compliance via the use of our secure online work space, a virtual safe where sensitive documents reside and can be viewed and edited by authorized users, whether inside or outside your network. The application protects documents against unauthorized access, forwarding, saving or printing, and provides a tamper-proof audit trail that ensures that every activity is recorded and traceable.
2) What do you mean by “document compliance?”
As companies' business and collaborative relationships become more complex, corporate initiatives at the board, executive, legal, auditing and strategic levels are being conducted beyond brick-and-mortar boundaries. Sensitive documents travel beyond the corporate firewall. It’s critical that they remain accessible yet secure so companies avoid data security breaches, corporate risk and potentially expensive fines not to mention harm to your brand and reputation.
Document compliance involves controllable sharing of confidential documents between people and organizations. Companies manage document compliance to guarantee the appropriate level of security to documents during all their collaborative business efforts. Not only does Brainloop allow companies to exercise security best practices to mitigate their information risks; it also allows them to meet corporate and regulatory compliance objectives.
3) How does your application relate to document compliance?
Companies deal with a lot of confidential documents, such as financial reports, major contracts or confidential R&D. Surprisingly enough, these documents are often not very well protected; they are stored on a file server or in a groupware application. They are basically kept in an open filing cabinet. Would you store your financial reports in a filing cabinet sitting out in a hallway? Of course not. You would put them in a safe. That’s why you want a security document repository on which you can add rules, controls, and automation.
4) Is document compliance management really necessary?
Companies cannot conduct their business without sharing documents outside the corporate network; in fact, the more confidential the document is, the more it has to travel. Therefore they must find ways to ensure that confidential data is adequately protected and that every access to their information is traceable. Many common security measures only address a small part of the issue, such as email encryption, encryption on hard drives and other media, VPN, FTP sites, or enterprise-wide digital rights management (DRM) systems. These point solutions are often time consuming to implement and may leave the company vulnerable to the threats they don’t cover. Worse, they impose a stiff usability burden on the users, leading to dangerous shortcuts.
5) How do customers use Brainloop?

The solution logs each and every access to the data by every party throughout the process. This ensures the traceability of every access to the data room, on both the document and the user level.”
6) What are some typical Brainloop applications?
Using the Brainloop application, key compliance and risk management requirements are achieved in a variety of use cases:

- Distribution of sensitive documents used by legal or finance departments

7) How is Brainloop implemented?
Brainloop Secure Dataroom is an on-demand (SaaS) service. It is particularly cost effective for customers because they pay for their actual usage of the system. In addition, companies avoid hardware and infrastructure investment, as well as ongoing maintenance. Implementation is quick and uncomplicated, requiring only a few days or less. The customer can choose between using data centers in Europe or North America. Brainloop also offers the option of on-premise deployment on the customer’s own servers.
